Setup & Integration Guide 

General Information 

With On Demand Fulfillment, there is no MOQ (Minimum Order Quantity). You simply get charged as you sell, enabling you to market numerous products under various labels without the need to invest thousands of dollars in inventory upfront.

Our startup fee is $499. This fee encompasses the entire process of establishing your account, proofing your labels to ensure FDA compliance, and integrating your ecommerce platform with our shipping software to fully automate the logistics of your business. 

Setting up your website, merchant processing, marketing, advertising, and overall demand generation will remain your responsibility. 

If you need help with label design, we have an in-house design team that is more than happy to help.  Please see the “label design” section for additional information including pricing.  

The only other fee to maintain access to our services is our monthly subscription fee. Subscription fees are based on the number of SKUs that you have setup in our system. Each supplement you activate requires its own custom SKU that will be provided during onboarding. The pricing sheet in the link below breaks this down further, but we currently allow up to 90 days to complete your onboarding before the monthly subscription fee will be charged. If you are completely onboarded before the 90 days, your subscription will start at that time.

The monthly subscription fee is also waived on any month following a month where you were invoiced for $5,000 or more.

All new customers also start at our tier 3 pricing the first 90 days after the day that they are fully onboarded.

Once you are ready to pay the $499 and get started please reach out to your account representative and they can send you our fulfillment agreement to be signed to start the process! 


Product Pricing

There are 5 tier levels of product pricing. Your first 90 days after we finish onboarding your account you will be given tier 3 pricing. We do this because we understand that it takes some time to get your store off the ground and get sales going. 

At the end of month 3 we will review your total bottles sold in that 3rd month. That total number will determine the tier level you are in for month 4. Total bottles sold in month 4 will determine tier level for month 5 and so on. 

For example, in month 3 if you sell only 900 bottles then in month 4 you would go from tier 3 pricing to tier 2 pricing and be charged accordingly for the products on the weekly invoices.


Shipping Pricing 

We strive to make our pricing and fees easy to understand. For this reason we have made calculating the total cost of shipped products easier for you. 

You will have your product cost as explained in the section above + the shipping cost and that will equal your total cost we will charge you. 

You can find all domestic and international shipping costs on the last page of the Pricing Sheet. The prices you see there include all of the following services and items in that one price: Label Printing, Label Application, Pick & Pack, Bubble mailer or Box, and the Shipping Carrier cost. 

For international shipping, we use UPS Mail Innovations and can ship to any country in the world.

These prices are based on the weight of the overall package. You can view each product's weights here: Product Spec Sheet.

Billings and Invoices 

Once we ship your orders we will begin to bill you weekly. These invoices go out Monday and Tuesday of each week for the shipments processed the week before. If there are any issues you see with these invoices, please contact us before Friday, as this is when we will be charging the payment method that we have on file. 

Any invoice paid by Credit Card will have a 3.5% processing fee. 

Any order over $1,000 can be paid for by ACH or wire transfer. If you receive an invoice eligible for wire transfer, please reply to that invoice email requesting the bank transfer information.

Steps to Getting Integrated and Selling 

1. Custom SKUs 

Each product you choose to offer will be given a custom SKU. We will create and provide you with these SKUs during the onboarding process. 

After working with over 1,000 businesses and shipping millions of bottles each year, we have a good understanding of which clients become successful.  

Because of this we limit new clients to a max of 25 SKUs but we strongly recommend starting with only 5-10.  

This is beneficial to you so you can focus your branding and marketing on specific products that best fit your audience.  Plus in the process of working with us, it will allow us to get you fully onboarded and selling much faster!

Then you can start making sales and money sooner! We can easily expand your line by adding additional products to your offering as time goes on. 

These SKUs are extremely important because it is how we know which label to print and apply to what specific product.  

On your end, these SKUs need to be used in 3 key areas:

  • Add them in the SKU field of your product details on your website(s). 

  • Add to the lower left hand corner of your labels. 

  • Included in the File name of your labels that you submit.

2. Label Design 

There are two options when it comes to label design, our design team or your own. 

We have a design team with 10+ years of experience in the supplement industry you can use, or you are welcome to have your labels designed and created by your own designer or an outsourced designer. 

One of the primary benefits to using our design team is that they fully handle the proofing process and all future compliance updates. 

Compliance updates happen several times a year as there are updates to FDA regulations and/or manufacturing changes.  These label changes are required to be made for us to continue printing the labels.

Required label updates can often become an issue and cause delays for clients who outsource their label designs, especially when you are unable to contact your original designer when future updates are required.

So for $199 you can get 1, 2 or 3 labels designed. If you only need 1 label designed to start, you can come back later to have them create the additional 2 later. There is also an option to have our team create 3D renders of your label on the bottle so you can have high quality digital images created for your product listings and marketing materials. 

If you would like to use our team just let us know how many labels you are going to have them design and how many of those will also be getting 3D render images. We will then create an invoice for you to review and approve. We will also send you a questionnaire at that time so that you can answer questions that will allow the design team to create your label just as you are envisioning it. 


Using Your Own Designer 

If you already have your own designer or want to use one from Fiverr, Upwork, or a similar source then we can provide you with all our label templates to make their job much easier.

**We provide this password once the $499 setup fee is paid. 

This is a new feature we're excited about, because if in the future you choose to expand your product line you will be able to easily download the templates and get labels designed without having to wait on us to supply those to you. 

BUT with any product you want to add to your line you will still have to send the labels over for proofing and for us to assign your SKUs on those products. If you don’t, we

won’t be able to ship products that don’t have approved labels or SKUs in our system. 

Label Design Instructions

Here are a couple of quick notes regarding label design to streamline the process and

ensure swift proofing while meeting FDA regulations:


  • You have the flexibility to incorporate their own artwork and utilize different design elements to create a unique appearance that aligns with your brand.

  • You can also change the name of the product and the benefits/claims listed below but any benefits/claims do have to keep the asterisk (*) next to them so that they refer to the outlined FDA disclaimer box on the left of the label.

  • When making claims on the label, it's important to use supporting or assisting words to avoid sounding like a guarantee or promise. A helpful guideline is to assess whether the claim could be interpreted as making a guarantee, or promise of a specific benefit or result. If this is the case, the claim should be

revised to focus more on potential benefits of the product, rather than specific outcomes for the consumer.


Detailed Label Design Guidelines:

This image below gives an outline of what sections of the label your designer can make changes to and to what extent. 




BLUE: The location of this information within the label template needs to remain roughly the same as the templates.

Distributed By section, needs to be updated to your company info. It is REQUIRED to have 2 forms of contact meaning at least 2 of the following: Full Street Address, Phone #, or Email Address. 


The lower left SKU area needs to be updated to the SKU # that we will provide you that is unique and custom to your specific label and product. Labels will not be approved unless they contain your custom SKU that we provided you with.

Barcodes must be added to the lower left and you can utilize an FNSKU or UPC barcode. If you don’t have either of these, you will need to generate a barcode based on the SKU that ODF provided you for this product.  Full instructions on barcode creation can be found here. BARCODE CREATION


YELLOW: These sections can be changed  But the doses or overall meaning behind the usage directions need to stay the same. 

- If you want to increase or decrease the serving size you can, but the instructions and the amounts per serving need to be updated accordingly so that the SUGGESTED USE section and Supplement Facts panel match. There are limits on increasing dosages. 


RED: These sections cannot be changed or they will not be approved. Not all labels have them, but in the example below you can see certain ingredients require using their logos on the label to represent that ingredient along with other disclaimers. These sections do need to remain on the labels.


GREEN: This section is completely optional but if left, it needs to be an accurate representation of the total MG per serving. 


ORANGE: This section is advised by our Manufacturer due to issues they have had in the past with specific state requirements, but it is not an FDA requirement so it is optional. 


*Within the distributed by information we are no longer accepting websites as a form of contact. It instead must be an active phone # or email address along with the street address. If wanting to use a PO Box or just a City, State and Zip, then both a phone number and email must be included. 


Resources for Product Renderings

Many of our clients want to have photos of their product on their site, but often a 3D render is a better option. 3D renders have better resolution, increased legibility when the picture is enlarged, and does not require actual labeled product to create. Most graphic designers (including our own) can create these 3D renders by imposing your custom-made label onto a 3D image of the bottle. 


If your designer is going to create these, you will need to know which products come in which bottles. You can use this spreadsheet here to figure that out:  ODF Product Spec Sheet 

Then depending on which bottle image you need, they can be downloaded from this folder:  Bottle Images

Two additional and very helpful resources: 

  • Pre-Approved Claims – This is a spreadsheet with Claims that have been Pre Approved to be used on our supplements. This helps save time when trying to think of claims. 

  • Certifications This is a spreadsheet showing the different certifications that are allowed on each product. 

Please let us know if you have any other questions. If not, we'll await your designed labels to be sent in for proofing.

3. Label Proofing 

One important requirement we have for submitted labels is how the file is named. They need to follow this format to ensure accurate filing and to ensure accurate use and printing. 

In the example below the Product Name is required to be first. This is the name of the product in our catalog. Next is the SKU that we provided you. Then the Version number, this is found in the lower left of each label template. This is needed to ensure that you are using the most updated file and so we can quickly identify if you are not. And then the final item is the new product name, if you are renaming it. If not, nothing further is needed.

DO NOT use any – or _ between the words as spaces between the information is required for our system to properly search and find your files when needed.

Our proofing process is simple. Once your labels are completed you submit them to proofing@ondemandfulfillment.com, we will perform an initial review to see if there are any obvious changes that need to be made. If there are, we will send you the feedback to make the changes. 

Once we review that everything is correct, we will send them up to our quality department to go through a final secondary check to ensure that your label meets all FDA regulations. 

This entire process can take up to 2-7 business days depending on the number of labels you send in and the volume of other labels in line for proofing. Once we receive any feedback we will pass this along to you for final changes to be made. 

Once final changes are performed you will send us your final labels, we will ensure all recommended changes were made and if so we will then add your labels into your file of Active and ready to print labels. 

4. Label Printing

Our dropshipping and private labeling service does include the label printing of each of your product labels. As orders come into your store we calculate the total number needed for the day and print them on demand. 

LABEL QUALITY DISCLAIMER -- PLEASE READ

As of 2025, ODF has invested in upgraded printing technology and higher-quality label materials to better serve our clients' evolving needs. Our Epson-printed labels now offer improved durability, color consistency, and professional finish while still maintaining the speed and flexibility that support growing brands.

We consider our in-house labels to be B+ quality, making them suitable for most use cases especially for startups, small-batch production, or brands that benefit from low-volume, quick-turn labeling. Due to ODF’s business model, we use printers capable of producing single-label quantities, which means our in-house labels are not laminated and may occasionally experience slight bleed or wear.

For brands with established core products or those preparing for broader retail distribution, we recommend transitioning to HQ bulk-printed labels for the highest resolution, enhanced durability, and premium finish options.

Label Quality Examples:

When looking at the labels from a normal distance they have very comparable quality. Orange is an example of the new Epson printed labels. The Purple is an example of our previous ink jet on demand printing.

5. Site Integration 

Once we have your finalized labels we can get our shipping software connected with your site. 

 Many sites make integrating simple! Just let us know which platform you're selling on or which shopping cart you're using. We'll send you instructions on how to connect with us.

For Example, we integrate with all of these, plus many more! 

If you are using a call center, custom site, or a different sales platform that we are

unable to directly integrate with then just let us know! We have always been able to figure out a way to make things work for our clients. 

Test Order 

Once we successfully connect with your store, we will always want to place a test order. How you do this depends on your specific platform, but in general, we recommend placing an order using a discount code so that you aren’t charged anything.

FAQs 

Are your products made in an FDA registered facility? Can we put that on the product? 

Yes, our manufacturer is a fully FDA registered facility. Yes, you can market that on your bottle, but you cannot use the actual FDA logo as it is trademarked. See examples in our Help Article here.

Does your manufacturer follow GMP? 

Yes, our manufacturer always maintains a current and valid GMP certification. If needed for your merchant account or Amazon ungating. You can download that here. 

Does On Demand’s product liability policy cover you? 

We carry a policy that covers the accuracy of the product and its contents as stated on the label. If there are any issues with the actual contents not matching the label or any other manufacturing-related concerns, responsibility falls on the manufacturer who also maintains a current liability policy. Anything related to marketing claims would fall exclusively on clients as the seller of the product. 

However, in reality, legal actions often involve multiple parties and they include everyone possible. Therefore, we strongly encourage our clients to obtain their own liability insurance. This ensures protection in case they are sued, especially for issues unrelated to the product's contents, where the manufacturer's policy may not provide coverage. It's a precautionary measure to safeguard your business against potential legal challenges.

Can On Demand handle my returns? If so, what is your policy? 

We can accept and process returns for your store. In terms of your process and whether you choose to refund customers after a certain date is up to you, many clients choose to do a 30-60 day money back guarantee, but you are welcome to do whatever you feel best fits your business and customer needs. As far as our process for returns, we accept and process returns Monday-Friday, and all returns need to be shipped via USPS to the following address:

Customers should be instructed to include their original packing slip with returns, that way we can easily identify the customer and order number. If they do not have the original packing slip anymore they need to include a piece of paper with their full name and address. 

Please note WE DO NOT PROVIDE RETURN SHIPPING LABELS, that would be up to you or your customer to purchase the return shipping labels addressed to us. When we receive the returns, we put them through a quality check to make sure all bottles are sealed and in good condition. If they are sealed, we remove your labels and restock them, providing you a credit on your next invoice of the cost of the bottle minus a $1.50 restocking fee per bottle. If the seals are broken or bottles are open and damaged, they will be thrown away and there will be no credit issued. 

Does On Demand Fulfillment Offer Merchant Services?
 

No we do not, but we do have a great relationship with several merchant account brokers that can help you. Reach out to us and we'll get you connected with the best solution for your specific needs. 

Is On Demand able to insert business cards, stickers, or welcome letters into packages? 

Absolutely! Attached below is our help guide, which outlines the specs, pricing, and instructions for submitting these to us.

Package Inserts

Are you able to create custom formulations and fulfill those? 

ODF does not currently accept custom product formulations for creation or fulfillment by default due to limited warehouse space and operational constraints.

We do not manufacture custom formulations. If you have a custom product you’d like us to fulfill alongside your on-demand products, you may submit the product details to your Account Representative. These requests are reviewed on a case-by-case basis by upper management, and approval is required before any product can be shipped to our facility.

Please note: Review of a non-ODF product for fulfillment does not guarantee approval.

Can On Demand Fulfillment ship bulk orders? 

Yes we can, but there are limitations because our standard business model is more focused around dropshipping. Please reach out with further details of your request to see if we can meet your needs. 

What is the cut off time for same day shipping? 

We do not offer same day shipping at this time, but all orders are typically processed within 24 hours of being received in our system. 

Can I Offer Amazon Prime Shipping Through ODF? 

Yes and no. Here’s how it works:

ODF cannot offer Amazon Prime shipping directly through our fulfillment services, as we are not an Amazon warehouse. Prime shipping is a benefit that’s strictly tied to Fulfilled by Amazon (FBA) orders where products are stored and shipped from Amazon's own warehouse.

However, ODF can still support clients who want to sell on Amazon:

  • FBA (Fulfilled by Amazon): Many of our clients place bulk orders with us that we ship to Amazon's warehouses. Once your products arrive at Amazon’s fulfillment center, they handle the packing and shipping—allowing your listings to qualify for Prime.

  • FBM (Fulfilled by Merchant): ODF can fulfill day-to-day non Prime Amazon orders on your behalf from our warehouse. This is ideal for newer brands starting on Amazon, as it allows you to begin selling without large upfront product investments or storage costs.

Note: Amazon offers a program called Seller Fulfilled Prime (SFP), but we are not currently set up to support this specific program.

Can I have 2 labels for the Same Product?
 

Yes you can, but you will need to have 2 separate and unique SKUs for each label. So please make sure you clearly explain this to us. 

Do different flavors count as different products?
Yes, each unique scent and flavor is a unique product on our shelf and requires a unique label so each flavor of a product you offer requires its own SKU and counts towards your total product count in regards to the monthly subscription. 

Does On Demand Fulfillment enter all the listing and product info on my site or selling platforms?

No, these products are 100% your private labeled product meaning that you will be responsible for creating all product listings and site information. To gain further information about the products, you can reference our website, but please do not copy word for word. 

How Long Does the Account Setup and Integration Process Take? 

The setup timeline can vary significantly based on your current progress, experience, and the number of products you plan to offer.

Some clients come to us with everything nearly ready—label designs complete and just needing final proofing, websites live, and sales channels ready to go. In those cases, we can have them fully onboarded and shipping orders within 45 minutes.

For others who are just getting started, the setup process can take several weeks or even months, depending on how much time and effort they’re able to dedicate.

Either way, we’re happy to support you and move forward at your pace.
